Facility Use/Rental

FACILITY RESERVATION INFORMATION

A.                 Facilities:

            1.    Classroom: 

                  a.  Single:  25 capacity, includes tables and chairs, some rooms have chalkboards.  Fee:  $35.00 per (2) hour use.

                  b.  Double:  50 capacity, includes tables and chairs, one classroom has a portable chalkboard.  Fee:  $65 per (2) hour use.

2.      JCI Nisei Vets Hall:  250 capacity with chairs only.  180 capacity with tables and chairs.  Tables and chairs available.  Kitchen use per request with no extra cost. See restrictions in Section C, #6.

a.       Fee:  $100/hour with 6-hour minimum fee ($600).  $800 maximum for 8 to 12 hours with additional hours charged at a rate of $100/hour.  Cleaning fee, $50.  Balance, including security deposit and cleaning fee due (2) weeks prior to use. Balance must be paid in full.

b.      Deposit:  $150.00 deposit for the Hall must be paid when reservation is approved to hold reservation, which will be applied to the balance due.  If reservation must be cancelled, deposit will be fully refunded with (2) week notice prior to the date of event.

c.       Security deposit:  $300.00 fully refundable after the event if condition of the facility is satisfactory, and no damages/losses resulted from use.  Payable with hall rental fee.

3.      JCI Hall:  340 capacity.  Tables and chairs available.  Kitchen use per request with no extra cost. 

a.       Fee:  $150/hour with 6 hour minimum fee ($900).  $1,200 maximum for 8 to 12 hours with additional hours beyond 12 hours charged at a rate of $100/hour.  Cleaning fee, $50.  Balance, including security deposit, cleaning fee and stage (if needed) due (2) weeks prior to use.  Balance must be paid in full.

b.      Deposit:  $150.00 deposit for the Hall must be paid when reservation is approved to hold reservation, which will be applied to the balance due.  If reservation must be cancelled, deposit will be fully refunded with (2) week notice prior to the date of event.

c.       Security deposit:  $300.00 fully refundable after the event if condition of the facility is satisfactory, and no damages/losses resulted from use.  Payable with hall rental fee.

d.      Stage (in the JCI Hall if requested):  $150.00 fee for set-up/breakdown payable with hall rental fee.

 

B.                 Reservations:

            Classroom reservations must be made at least two (2) weeks in advance of the event.  Hall reservations must be made at least one (1) month in advance.  Facility Reservation Requests must be approved by the GVJCI office. 

 

C.        Terms of Usage Agreement:

For Hall rental, Organization/Individual must obtain a Certificate of Insurance of Commercial General Liability coverage covering the event for a minimum of $1,000,000, with GVJCI named as an additional insured certificate holder.  If not available through the Organization/Individual, coverage may now be purchased through JCI. Please inquire about our rates.

1.      Officers of organization/applicants of all groups shall be held responsible for the conduct of, and any damage done by their members/guests.

2.      Decorations in the facility must conform to local fire regulations and shall be approved by GVJCI.

3.      Groups must comply with the maximum capacity stated and approved floor plans of table/stage layout provided by GVJCI .  The fire department may make unannounced inspections at the event to insure that all compliances have been met.

4.      The sale of alcoholic beverages is prohibited and shall not be allowed on the premises without prior approval by GVJCI. 

5.      Food and soft drinks will be allowed by special request.  Only heating, refrigeration, preparation, and serving of food are allowed. No cooking.   Outdoor bbq or burners may be allowed with prior approval.  All trash, including cooking grease, etc., shall be properly placed in containers, bagged, and placed in the dumpster.  Charcoal use is prohibited.  No materials shall be discarded on the GVJCI grounds. 

6.      All articles/property of individuals or groups will be removed from the GVJCI following the event.  GVJCI assumes no liability for same if left on premises.

7.      Private, profit-making groups and/or classes, organizations charging tuition or fee shall be assessed for facilities usage.

8.      Adult supervision must be provided for all youth/minor activities.  All youth group activities shall (a) permit no smoking by minors; (b) provide security measures as prescribed by the City; (c) provide one (1) chaperone per every twenty (20) youths and submit name list of same; (d) have a responsible adult apply for the reservation and assume liability of any damage/losses resulting from use of facilities.

9.      Special authority will be required for use of facility after 10:00 p.m.

10.  Activities must not be extended into the parking lot area and must be kept within the Hall unless allowed by special request.  Parking lot/structure must be vacated immediately after conclusion of activity.

 11.  You will be notified if there will be another function held in the adjacent facilities, in which parking will then be limited to only half of the lot where your event will be held.  A parking diagram will be provided if this is necessary.

12.  Parking in the rear lot (entrance off of 164th Street) is permitted only on the SOUTH side of the lot.  Cars parked on the North side will be towed.  A Parking Agreement will need to be understood and signed by the group’s representative, and all attendees of the event will need to be informed of this.

13.  Hall Use:  All groups are responsible for the set up of tables and chairs.  Return of tables and chairs by the JCI.   A walk through of the hall with a JCI office staff person is required prior to the event date.

14.  Classroom:  All groups are responsible for clean up and return of the classroom to its original state.   Chairs and tables in their respective rooms should always face the white boards.   Diagrams are noted in each classroom.  Any food items or drinks, if approved should be removed and discarded in the dumpster.  No materials shall be discarded on the GVJCI grounds.

15.  Permanent rental or assignment of space shall not be made to any individual or organization.
